The University’s compliance effort focuses mainly on teaching members of the University community the appropriate compliance standards for the areas in which they work. Nevertheless, violations may occur. In addition, members of the University community may have concerns about matters that they are not sure represent violations. This section describes community members’ responsibilities for reporting violations or concerns, and how these responsibilities may be carried out.

Each community member is expected to report violations or concerns about violations of the Code of Conduct that come to their attention. Managers have a special duty to adhere to the standards set forth in the Code of Conduct, to recognize violations, and to enforce the standards. Disciplinary actions for proven violations of this Code, or for retaliation against anyone who reports possible violations, will be determined on a case-by-case basis and may include termination of employment. Individuals who violate the Code may also be subject to civil and criminal charges in some circumstances.


Reporting a Violation or Concern:

Washington University in St. Louis has mechanisms to report concerns or other suspected violations of the university’s code of conduct.

Mechanisms

Reports should be made in good faith and not be frivolous in nature.

Report to your supervisor or department head

Report violations or concerns to your immediate supervisor or department head, if appropriate. It is strongly encouraged that members of the community report concerns of misconduct through their normal lines of communication. Routine discussion with one’s supervisor or department head is the preferred method for resolution.

Policy violations or concerns about your workplace environment

To report concerns on policy violations or concerns about your workplace environment, access the HR Confidential Concern Portal.  The portal can be accessed via phone at 1-844-484-5957 or online at this site: https://secure.ethicspoint.com/domain/media/en/gui/57349/index.html

The portal is administered by a third party (NAVEX Global) and is answered 24 hours a day, seven days a week. There are more than 75 language options available. Concerns can be reported anonymously through the portal.

To report potential conduct violations to the Office of Student Conduct and Community Standards (OSCCS) submit an online report on this site:  Student Conduct Incident Report

To report incidents of bias, prejudice, or discrimination involving a student, file a report through the Bias Report and Support System (BRSS) on this site: https://students.wustl.edu/bias-report-support-system/  The BRSS team follows up on reported incidents if the reporting student provides their contact information and indicates that they wish to be contacted. Reports can be made anonymously.

Other matters

To report other suspected compliance violations or concerns, submit an online report or call the compliance hotline at 314-362-4998. Reports and calls are received by the University Compliance Office, with assistance handled by other university areas as necessary. Reports made through the online report form can be anonymous.
